Use cases in depth
AI-agent action authorization. Engineering teams building customer-facing AI agents, internal copilots, and autonomous task runners use SequenceNow to require a human decision before the agent issues a refund, sends an outbound message to a customer, modifies a production database, schedules a payment, or takes any action above a configured risk threshold. The agent calls the SequenceNow API with a proposed action and a context payload. SequenceNow routes the request to a named approver, waits for the decision, and returns a signed verdict the agent uses to proceed, halt, or escalate.
Microsoft Entra ID external authentication. IT and identity teams operating Microsoft Entra ID configure SequenceNow as an External Authentication Method (EAM). When a user signs in or attempts a step-up action, Entra ID delegates the authentication challenge to SequenceNow. The user receives a WhatsApp prompt, approves or rejects from their phone, and the verdict is returned to Entra ID. Every approval and rejection is logged with a signed record, so identity administrators have a verifiable history of who authorized which sign-in, when, and from which channel.
MFA fallback for blocked end users. When an end user cannot complete primary MFA, support and identity teams can issue a reviewer-driven fallback through SequenceNow. The reviewer confirms the user's identity through a documented process, approves the fallback through SequenceNow, and the override is recorded with a tamper-evident audit entry. This replaces ad-hoc email and Slack approvals with a structured, auditable workflow.
Invoice and vendor-payment approvals. Finance and operations teams require a named human approver for vendor invoices above a configured dollar threshold, refunds above a configured limit, or any payment to a new vendor. The accounting system or AP automation calls SequenceNow with the proposed payment. SequenceNow routes the request to the controller or department head over WhatsApp, SMS, or email, and returns a signed verdict that the payment system enforces.
Access-grant and entitlement approvals. Security and IT teams add SequenceNow as the human-approval step on access grants, entitlement changes, group memberships, and privileged-role activations. Requests are routed to managers and resource owners over their preferred channel, and the decision is captured in the audit log alongside the technical event in the identity platform.
Customer-facing high-risk operations. Product and operations teams gate customer-facing high-risk operations (large refunds, account closures, address changes, beneficiary changes, large outbound transfers) on a SequenceNow approval. The customer service agent or AI agent issues the request, the named approver decides in seconds, and the customer experiences a single short delay instead of a multi-day escalation.
Capabilities in detail
Policy-driven routing. Configure routing rules by user, role, risk score, dollar amount, time of day, and request category. Route low-risk requests to a single primary approver; require dual approval on requests above a configured threshold; escalate to a backup approver after a configurable timeout; auto-reject requests that exceed a policy ceiling. Policy is stored in version control and applied consistently across every channel.
Risk scoring. Each request can include a structured context payload (vendor, amount, customer segment, agent identity, prior history). SequenceNow surfaces the relevant signals to the approver so the decision is informed without forcing the approver to dig through multiple systems. Risk scores can be supplied by the calling system or computed from policy rules.
Approver experience. Approvers receive a short, focused prompt over their preferred channel. The message includes the request summary, the key risk signals, and approve / reject / request-more-info actions. The approver responds in seconds. There is no app to install for WhatsApp, SMS, or email approvers. A web dashboard is available for power users who want a queue view and bulk actions.
Audit trail and exports. Every request, decision, channel delivery, retry, and escalation is logged with timestamps and signatures. Logs are exportable to CSV and JSON for SOC 2, ISO 27001, internal audit, and regulator review. Retention is configurable per workspace.
Integration surface. REST API for direct integration, webhooks for asynchronous callbacks, and reference adapters for common AI-agent frameworks and identity platforms. Webhook payloads are signed so the calling system can verify authenticity without trusting transport alone.
Workspaces and roles. Multi-workspace support with separate policy, approver pools, and audit log per workspace. Roles cover policy administrators, approver-pool managers, approvers, and read-only auditors.

Deployment and integration
SequenceNow runs as a managed cloud service. Customers integrate over a documented REST API and signed webhooks. Typical time from contract to first production approval is days, not months, because the integration surface is intentionally narrow: a call to request an approval, a callback or polling endpoint for the verdict, and a configuration step for approver pools and policy.
For Microsoft Entra ID, SequenceNow is configured as an External Authentication Method in the tenant administration console, with the SequenceNow workspace bound to the tenant. End users continue to use their existing Entra ID accounts. The only user-visible change is that the second factor or step-up challenge is delivered over WhatsApp.
For AI agents, integration is a single HTTP call before the sensitive action. Reference adapters are available for common agent frameworks. The agent does not need to handle channel selection, retry, or approver routing. That is all handled inside SequenceNow.
Data handling
SequenceNow stores the minimum data required to route approvals and produce an audit trail: request metadata, approver identity, decision, channel used, and timestamps. Customers control what context payload is included in each request. Sensitive content can be redacted or summarized before it reaches SequenceNow.
